REGISTRATION FEES

The registration fee covers access to scientific programme and poster sessions, conference materials, welcome BBQ, coffee breaks, and lunches served on-site.

REGISTRATION PROCEDURE

1. Fill out the registration form. You can access it by clicking here. The same form in polish language is available here
2. In the first step you will be asked if the invoice for your participation should be issued for an organization (e.g. university) or for a physical person (e.g James Maxwell). Please note, that it is not possible to change the invoicing data after receiving the payment.
3. You can choose if you want to pay directly with credit card / PayPal or by bank transfer.
4. If you select PayPal payment, after completing the form, you will be directly forwarded to a PayPal webpage to process the payment.
5. If you select bank transfer, please send the bank transfer up to 14 calendar days after completing the form. Otherwise, your registration will be cancelled. If you need more time, we encourage you to contact us by letting us know by email at qbic-vi@candela.org.pl Please specify the pro forma number that we generated in the registration system in the title of the bank transfer (you will receive it by email after completing the last steps of the registration).
6. If you select bank transfer, kindly note that all bank and transfer fee must be covered by the sender.
7. After completing the form, you will receive a confirmation of submitting the form and confirmation of processing the payment. If you don’t receive it (please take a look at your SPAM folder first), please contact us with details of the process.
8. Once we receive the payment, you will be notified about it in 2 working days.
9. Up to 7 working days after receiving the payment, the Candela Foundation will send you an invoice. The invoice will be delivered by email using the address submitted in the registration form.

HOW TO ACCESS THE DISCOUNTED (STUDENT RATES)?

1. Complete the registration form and select bank transfer as a payment method.
2. Send proof of student status (student ID, certificate from the admin) to qbic-vi@candela.org.pl. Please inform us if you would like to pay by card or by bank transfer.
3. We will correct the registration, apply the student rate and provide updated pro forma. In the case of card payment, we will provide a link that allows to finalize the registration and pay the conference fee.

PAYMENTS – POSSIBLE OPTIONS

Payment for the conference fee can be made by:

• bank transfer
• credit card (managed by PayPal)

The conference fee is declared in PLN, but we can also accept bank transfers in EUR and USD. To convert your registration fee, please fill out the registration form by choosing "bank transfer" as payment method, complete the payment and contact us afterward (qbic-vi@candela.org.pl). Based on the information from the registration, we will issue pro forma invoice in EUR/USD based on the recent exchange rate (published by National Bank of Poland).

For payments procedure initiated after 28 August 2023, in particular for on-site registrations, we will accept only card payments. We cannot accept payment in cash.

Bank Wire Transfer and other related fees should be paid by the registrant (please verify carefully during the Wire Transfer payment that all costs are charged to you).

SCAM WARNING
Recently, there have been scam attempts targeted at conference attendees, so we’re warning you preemptively, that:

• All emails from the Organizing Committee will be sent from @candela.org.pl or @ichf.edu.pl
• We will be only charging the above-mentioned conference fee, no other payments will be asked by the Organizing Committee
• Accommodation and transport are not included in the conference fee, and therefore we will not offer booking assistance to the regular participants

Any of the mentioned points may be subject to scam, so we are asking you to stay cautious.

CANCELLATION AND REFUNDS
Refunds are possible in the full amount for the cancellations requested before 29 June 2023. Refunds are possible in the amount of 50% of the sum paid for the cancellations requested before 29 July 2023. After this date, the refunds are not possible. To request refunds – please contact Candela Foundation with details of your registration by sending email to qbic-vi@candela.org.pl or events@candela.org.pl
